SUGGESTED CHANGES, March 2018:

  1. Move “US Eastern Timezone” to the mention of times in Bold and Delete the final sentence in this paragraph: “We, the MAWPM group, meet in this teleconference SEVEN days a week at 7 am, Noon and 8 pm. The full schedule, with phone numbers and access codes for all three phone groups is on the websites ma-phone.org and marijuana-anonymous.org. All times are US Eastern Timezone.” New version would be: “We, the MAWPM group, meet in this teleconference SEVEN days a week at 7 am, Noon, and 8 pm US Eastern Timezone. The full schedule, with phone numbers and access codes for all three phone groups is on the websites ma-phone.org and marijuana-anonymous.org.”
  2. Add: “It starts with God, and that’s the Higher Power of your own understanding.” to each intro of the Serenity Prayer.
  3. Add: “I am now putting our call in Q&A Mode. To actively participate, press star 6 and follow the prompts to get into the queue. Typically, it’s star 6 – 1. You can remove yourself from the queue, by pressing star 6 – 1 again.” As part of the script before the instruction in Red. (Before Responsibility statement.) Would replace the current statement: “I will now put the meeting into Q&A mode.”
  4. Replace the sentence in chairperson instructions: “Suggest that active participants get these materials ready and enter the queue by pressing *6, 1 while the chair reads the Preamble.” with: “Suggest that participants get into the queue and have these materials ready while you read the Preamble.” AND Add: “When the system tells you “it is now time to ask your question,” that means it’s time for you to speak. Make sure to unmute your phone before speaking.”
  5. Replace “our book” with “our basic text” under optional readings.
  6. Under welcoming newcomers, delete “Please” and add “Welcome, everyone. We encourage you to…” explore the MA website at marijuana-anonymous.org.”
  7. Add “We discuss the first three steps” by the Newcomers Meeting on Wednesdays at noon on the Meeting Schedule.
  8. Move: “To participate in the meeting press *6, 1. Note that the system will say, “you can now ask your question,” which for us means “your turn to share.”” to where it says: “It is now time for sharing.” Add: “Please make sure that you are not muted when you share.”
Please note that this change has already been implemented. Please still feel free to cast your vote or offer commentary on this item.
  9. Change 7 am to NA Just for Today Discussion meeting.
Please note that this change has already been implemented. Feel free to cast your vote and/or offer commentary.
  10. Add to chair instructions at the sharing part: “Throughout the meeting, continue to remind callers of the topics. “As a reminder, here are the topics… (Don’t say LATE.)”
  11. Move the line: “Please remember that anonymity is the spiritual foundation of our program ever reminding us to place principles before personalities.” to right before the 7th tradition paragraph. Also adding: “What you hear here, stays here.” directly after “principles before personalities.”
  12. Changes to claiming seats: Add: It’s now time to get in the queue to claim your seat if you have not shared yet. Delete: At this time, would anyone who has not shared like to “claim their seat,” which Add: This simply means announcing your first name, and if you’d like your relative location.
  13. Changes to the announcements section: Delete everything in the first three paragraphs, Adding: Please look on the website, below the home menu tab to find the announcements for the MAWPM phone group. Keep: Follow the link to review the many opportunities to participate in recovery at the group and world levels. Keep the rest after that.
The script scribe or webmaster may put brief reference to significant and/or time sensitive announcements — if details are needed then a blog post should be created and linked to.
  14. Add: (Leaving out the names of people who shared will gain back time, if the meeting is running late.) under Closing.
  15. At ending Serenity Prayer, going from Q&A to Mute mode (*5) with language that “Those who want to participate in the prayer will need to unmute your phone by pressing *6.”

Responding to MAWS call for info about phone meetings

Below is a message we received from the MAWS Outreach Trustee on Nov 13. An agenda item has been added to the WDR & MAWPM GC agendas for discussion and a couple of WIR people have been notified.

Greetings ANLP, MA World Services PI Trustee, District 13 and Phone Meeting Representatives!

I am reaching out to to discuss the types of correspondence the MA World Services Outreach Committee is responding to. We at Outreach have been responding to all of the calls that come into the MA World Service 800 number. Many of these calls are indeed about Outreach, but sometimes these calls are about Online or Phone meetings, ANLP orders or PI specific questions. By job description, Outreach is charged to respond to helpline inquiries, but in a way, the Outreach Committee has become the World Services Receptionist and I would like to work together to establish a process for your service group, District or meeting area to directly receive the calls pertaining to your MA domain, so to speak.

For example, when we get a call about someone struggling to understand how to enter online meetings, we are not really the experts on the logistics of online meetings. Also, when we receive PI inquiries, it would be more efficient for PI to be directly receiving those calls to respond. Really Outreach is not about responding to logistical questions about PI service opportunities, ANLP orders, or the logistics of online or phone meetings. We have been doing our best to respond, but I would like setup a process which directly links these specific calls to you all. I think this not only frees up some extra work that the Outreach Committee has been doing, but it also would better serve the members and professionals who are contacting MA.

This could be done in a couple of ways.

1. We could setup an Auto-Receptionist feature on the 800 line (through RingCentral). This would be that each of your domains would have it’s own extension. These call notifications, with voicemail attached, would be automatically forwarded to someone or a committee with your service group, district or meeting area. The benefits to this are that these specific calls are rerouted directly to those who can best respond to these type of inquiries, as well as Outreach not having to spend time yielding them. We would really like you to be the representatives of what information is shared about these specific MA domains.

2. If you do not want to have an extension through the 800 line, Outreach could setup a process of forwarding these calls immediately to a point person or team that you provide the contact information for. It may be a new service opportunity for your service group, district or meeting area. Basically we would need to know the contact emails of who those responsible parties are, and for you to keep them up-to-date.

3. You can setup your own correspondence line, such as through Google Voice.

If we moved forward with option 1, we would need your service group, district or meeting area to draft an outgoing message that would be recorded for listeners to hear. We would also need the contact information of who to link to that extension (who is going to receive the call notifications via email).

This will take a bit of planning and coordination between us, but I do think this is a direction that MA needs to move forward with. I look forward to hearing your feedback. I am willing to attend a DSC, business or Board meeting to further present this idea to your service group, district or meeting fellowships.

Thank you.
